COMPUTER/ICT UNIT –ACADEMIC DIVISION
The Computer/ICT Unit of the Academic Division is saddled with the following responsibilities
· Management of College of Medicine’ Student Database System
i. Incorporation of newly admitted student list into the College database
ii. General overseeing of Student Registration Portal ( Personal Registration and Course Registration)
iii. Attending to students’ complaints and questions emanating from Student Registration Portal
iv. Incorporation of the alumni student records into the Student Database
· Development of new ( relevant) In-house software and upgrade of existing in-house software
· Assisting the Examinations and Records Units of the Division for examination and record processing
· Attending meetings such as Board of Examiners Meeting and other relevant meetings as need may arise.
· Assisting the Academic Staff for marking student scripts with Computer Aided Marking Machine (Grade Master Machine)
· Maintenance of the IT infrastructure within the Academic Division
· Liaising with the Information Technology Unit (I.TU) and other Units within College of Medicine for relevant I.T. services, such as software development and other I.T. infrastructure maintenance.
MANAGEMENT OF COLLEGE OF MEDICINE’ STUDENT DATABASE SYSTEM
Incorporation of Newly Admitted Student List into the College Database
The System Analyst liaises with the Academic Unit Admissions Officer for the list of the newly admitted students into the College of Medicine; the list is then used to populate the Student Database to enable the newly admitted student to do online registration.
General Overseeing of Student Registration Portal (for Personal Registration and Course Registration)
The unit is responsible for overseeing the online personal registration and course registration of the newly admitted students and other students of the college for every academic session.
. At the beginning of every section, every student login to the Student Registration portal for their bio data (new student) and course registration
. The database of the student registration is kept and manages by the Unit.
Attending to Student Complaints and Questions Emanating From Student Registration Portal
We attend to students’ complaints and questions emanating in the course of online registration
. Student with any complaint download complaint form from the student registration portal
. Pay sum of N100 in the finance department of the College of Medicine
. Fill, attaché the payment receipt and submit the form
. The Unit staff attends to the complaint and feedback the student.
Incorporation of the Alumni Students Records into the Student Database
The Unit liaises with the Records Unit of the Division for the Kalamazoo of the alumni students and then entered into the Students’ Database by the Computer Operator of the Unit.
. The Unit collect Kalamazoo from the Record Unit of the Academic
. The Unit extract the necessary detail to populate the database
DEVELOPMENT OF NEW (RELEVANT) IN-HOUSE SOFTWARE AND UPGRADE OF THE EXISTING IN-HOUSE SOFTWARE
The Unit is responsible to develop software that will facilitate the operation of the Division especially in the area of student registration, examination and record processing. Sequel to this is the upgrade of any existing software as need may arise.
ASSISTING THE EXAMINATIONS AND RECORDS UNITS OF THE DIVISION FOR EXAMINATION AND RECORD PROCESSING
We assist the Examinations and Records Units of the division in computing the examination results and generation of relevant records.
. The Examination Unit of the Academic Division is provided with the examination result from department
. The Unit compute the result into an electronic format.
ATTENDING MEETINGS SUCH AS BOARD OF EXAMINERS MEETING AND OTHER RELEVANT MEETING AS NEED MAY ARISE
As a stakeholder in the examination processing the System Analyst of the Computer/ICT Unit represents the unit in the Board of Examiners Meeting for relevant and useful information.
ASSISTING THE ACADEMIC STAFFS FOR MARKING STUDENT SCRIPTS WITH COMPUTER AIDED MARKING MACHINE (GRADE MASTER MACHINE)
The Unit staffs assist the academic staffs of the College in setting up and operation of the Computer Aided Marking Machine (Grade Master Machine) and its software (Datalink).
MAINTENANCE OF THE I.T. INFRASTRUCTURE WITHIN THE ACADEMIC DIVISION
The Unit is responsible to maintain the Information Technology infrastructure within the division and report any fault to I.T.U if beyond the Unit’s capacity.
LIAISING WITH THE INFORMATION TECHNOLOGY UNIT (I.T.U) AND OTHER UNITS WITHIN COLLEGE OF MEDICINE FOR RELEVANT I.T. SERVICES, SUCH AS SOFTWARE DEVELOPMENT AND OTHER I.T. SERVICES
The Unit liaises with the Information Technology Unit (I.T.U.) and other Unit within the College for any I.T. services such as such as software development and other I.T. services. Such is ongoing “E-Assessment Software” developed for the Personnel Division for academic staff promotion exercise.
